This module will only read events from Outlook and Google accounts.

The External calendars integration feature in Timesheet Tracking for Jira allows users to integrate their Google Calendar or Outlook Cloud Calendar with Timesheetcalendars, enabling seamless event tracking and synchronizationreading the events from this providers. This feature ensures that all scheduled meetings and events appear directly in the Timesheet calendar with the ability to convert them into worklogs.

Note

By default, the External calendars integration is disabled upon installation. Only users with Administrator roles can enable this feature and configure its settings.

  • Only Jira Administrators or users with Administrator permissions can activate the External calendars integration.

  • Regular users can only view or interact with External calendars integration features once they are enabled.

How to Enable the External calendars integration feature ?

Follow these steps to activate the External calendars integration:

  1. Navigate Browse to the Report PanelNavigation Menu :

    • From the dropdown menu, select Administration.

Once the External Calendars Integration feature is enabled, a new "My Calendar" button becomes visible in the Calendar module's top navigation bar. This option allows users to integrate and convert events synchronized from external calendars such as Google and Outlook into worklogs.

Connecting Google Calendar to Timesheet Tracking for Jira

Step 1: Open the Calendar Section

  1. Navigate to the Calendar module in Timesheet.

  2. Click on My Calendar to access personal settings.

Step 2: Authenticate Google Account

  1. Select the Google or Microsoft tab to initiate the connection.

  2. Click Connect to Google.

  3. A Google authentication window will appear. Select the desired Google Account.

  4. Confirm your choice by clicking Continue.

  1. Click Authorize to complete the integration.

Step 4: Selecting Calendars to Sync

  1. Once authorized, you will be prompted to choose which calendars you want to sync.

  2. Check the relevant calendar(s) from the list and click Save to confirm your selection.

Step 5: Viewing Synced Events

Once authorized, your calendar events will be displayed in the Events section within Timesheet Cloud after clicking on the Show events button located at the top right of the Calendar view.

Google or Outlook meetings will now be automatically synced, appearing under the corresponding dates.

Step 6: Converting Events to Worklogs

Once external calendar events from Google or Outlook Cloud are successfully fetched, users have the option to convert them partially or totally to worklogs. This conversion allows for better tracking within Jira. You have to assign an issue to the worklog.

1. Conversion Options

  • Full Conversion: The entire event duration is converted to a worklog without modifications.

  • Partial Conversion: Users can adjust the event’s time range before confirming the conversion, allowing for flexibility in logging only relevant portions of an event.

2. How to Convert an Event

  • Open the event from the integrated calendar.

  • Choose Convert to Worklog.

  • If needed, adjust the time before confirming the conversion.

  • Once converted, the event appears in the Worklog section.
