Approvals
The Approvals module is the primary oversight interface for managers to validate, reject, and audit timesheets submitted by their team members. It serves as the final gateway, ensuring that raw worklogs are transformed into official, locked, and audit-ready records.
1. Overview
The Approvals screen centralizes all pending requests across the organization. It allows for high-level management of group submissions, ensuring that worklog accuracy is maintained and organizational targets are met before data is finalized for payroll or reporting.
2. Interface Breakdown
The following segments correspond to the key functional zones in the Approvals interface:
(1) Sidebar: Group Hierarchy
Located on the left, this panel allows you to navigate through different team structures:
All Groups: A consolidated view of all users under your management.
Specific Groups: Isolate a single team to focus your review on specific departments.
Approval List: Displays the list of members belonging to the selected group, allowing for individual selection.
(2) Global Filtering Toolbar
The top header contains tools to refine the data grid:
Status Filter: Filter the list by PENDING, APPROVED, or REJECTED to prioritize your tasks.
Date Range: Select the specific Year and Period (Month/Week) to review.
Search: Quickly find the timesheet of a specific employee by name.
(3) Submissions Data Grid
The main table provides the critical metrics required for validation:
Period & Author: Clearly identifies the timesheet owner and the timeframe.
Status Label: Visual indicators for the current lifecycle stage (Orange for PENDING, Green for APPROVED).
Hours Column: Displays the ratio of Logged Hours vs. Target Hours (21h / 40h). This is a critical auditing tool to identify under-capacity before granting approval.
(4) Management Actions
Individual Actions: Use the Checkmark (Approve) icon to validate or the Cross (Reject) icon to send the timesheet back for correction.
View Button: For already approved periods, the "View" button allows you to audit the specific worklog entries in read-only mode.
Bulk Approval: The Approve All button in the top-right corner allows for the immediate validation of all displayed pending requests.
3. The Approval Workflow
To ensure data integrity, managers should follow this standard operating procedure:
Metric Audit: Review the Hours ratio. If the logged hours are significantly lower than the target, investigate the worklogs before approving.
Validation: Once approved, the period is locked. The user can no longer add, edit, or delete worklogs for those dates.
Rejection: If a rejection is necessary, provide feedback to the user. The timesheet returns to Draft status, enabling the user to make the required adjustments.
4. Technical Notes & Compliance
Permissions Enforcement: Access to this module is strictly restricted to designated Managers within an Approval Group.
Data Locking: Approval is the only mechanism that prevents retroactive changes to timesheets, ensuring that historical reports remain static and reliable.
Visual Sync: If an approval action is performed but the status does not update immediately, a manual page refresh (F5) is recommended to clear the UI cache.
